Klár Privacy Policy

1. General

Klár prioritizes privacy and the security of data processed in the service. Klár aims to handle personal information fairly and transparently, in accordance with applicable laws and regulations.

This Privacy Policy applies to personal information that Klár receives, collects, or processes through use of the Klár software service and through communication with users and customers.

2. Legal obligations and responsibility

Klár operates in accordance with Icelandic Act No. 90/2018 on Data Protection and the Processing of Personal Data and Regulation (EU) 2016/679.

Klár customers are generally responsible for the employee and operational data they enter and process in their own workspace. Klár is responsible for processing connected with its own operations, including communications, service delivery, and system security.

Klár is operated by Ásmundur Kristmundsson. Questions about the handling of personal information should be sent to support@klarapp.is.

3. Personal information and data

Klár may collect, receive, and process personal information about customers and their users. This may include information about user access, roles, workplaces, task records, and other information created through use of the service.

The main purpose of this processing is to enable the Klár software service to function as intended, give users the correct access, support daily operational tasks, and operate securely and reliably.

Klár does not require an employee's Icelandic national identification number for sign-in and has no independent financial interest in user or customer personal information, such as renting or selling it.

4. Sharing personal information

Klár may share personal information with third parties that provide services to Klár, for example hosting, data storage, authentication, or other information technology services.

Klár uses personal information only for purposes required by the service and does not give others access unless that access is necessary to provide the service, permitted by contract, or required by law.

Your workplace can save a destination for a task. When map previews are enabled, Klár automatically loads an image from Google Static Maps when that destination appears on Home or Schedule. The saved address is sent to Google in the image request, along with technical connection information such as an IP address. Klár does not obtain the device’s GPS location or track the employee’s movements for this feature.

The “Open map” action is also available without a map preview. When you choose Apple Maps or Google Maps, Klár sends the saved destination name and address to that service. Use of the map service is covered by its privacy information.

The destination name and address are stored as part of your workplace’s task configuration. Klár does not maintain a permanent collection of Google map images. Workplaces should enter only necessary destination information and take particular care when an address identifies a person’s home.

5. Security of personal information

Klár uses technical and organizational measures to protect personal information, including access controls, separation between customer organizations, and encrypted connections.

6. Retention and deletion of personal information

Personal information is retained only for as long as necessary for the service, customer agreements, or legal obligations.

Requests to delete or deactivate a user account should generally be directed to the workplace that created the account or to support@klarapp.is. Historical operational records may be retained when a customer has a legitimate need for traceability or when required by law.

7. Rights of access and correction

An individual may request access to their personal information and ask for inaccurate or incomplete information to be corrected, unless law or regulation prevents it. Requests concerning data in a customer's workspace should generally be directed to that workplace.

An individual who believes that personal information has not been handled in accordance with the law may submit a complaint to the Icelandic Data Protection Authority.

Klár will review this policy when laws, regulations, or its processing activities change. The latest version will be published on the Klár website.
